Template notice for your contacts and staff
Effective: 19 October 2026
When your company uses Random Assistant, your company is the controller for the mail, calendar, CRM and documents it connects, and we are its processor under the Data Processing Agreement. Your company has to tell the people in that data how it is used: its contacts (GDPR Art 14) and its staff (Art 13). These texts are ready to adapt and use, for example in your own privacy notice, on your website or in your staff handbook.
How to use these texts
- Replace everything in [square brackets] with your own details.
- Check them against your own legal position. You decide the legal basis; the texts assume your legitimate interest (Art 6(1)(f)), which needs your own balancing test. The model assessment in our DPIA, available on request at privacy@random-assistant.com, can help.
- If you have a works council or other employee representatives, involve them before your staff start using the Service where your law requires it (DPA Section 10a).
- Requests from your contacts or staff go to you. If one reaches us, we forward it to you within 5 business days (DPA Section 10).
A. For your contacts (English)
AI assistant. [Company name] uses Random Assistant, an AI assistant provided by Random Solutions s.r.o. (Czech Republic) as our processor. It reads our mailboxes, calendars, CRM and documents to sort mail, prepare meetings, write drafts and brief our team. It also learns from them: facts about our contacts and their companies, deals and projects, and commitments and agreed next steps. If we correspond or meet with you, this can include your name, contact details, role and what we discussed.
We do this on the basis of our legitimate interest in organising our business communication efficiently (GDPR Art 6(1)(f)). Your data is stored in the EU, and the AI processing takes place in EU data centres. Some of our processor's service providers may process limited data outside the EU, for example backups kept by its mail and calendar provider; the locations and safeguards are listed at random-assistant.com/legal/processors. Your data is not used to train AI models, and nothing is decided about you automatically: a person at [Company name] reviews everything that is sent. The assistant is designed to refuse to store sensitive data about you, such as health information. What it learns is kept while we use the Service; memories that are not used are archived and deleted 12 months later, unless a user pins them. [On an Enterprise plan, replace the last part with: memories stay until a user forgets them; an archived memory is deleted 12 months later, unless a user pins it.]
You can object to this processing at any time, ask what we hold about you, and ask us to correct or delete it, including what the assistant learned about you. Contact [contact address]. You may also complain to a data-protection authority. Our processor's sub-processors are listed at random-assistant.com/legal/processors.
B. For your staff (English)
AI assistant at work. [Company name] provides Random Assistant, an AI assistant by Random Solutions s.r.o. (Czech Republic), which acts as our processor. When you connect your work mailbox, calendar or other tools, the assistant reads them to help you, and it learns from them for you: facts about your contacts, deals and projects, your commitments, your preferences, how you write and when you usually work. You see what it learned in your learned profile and can correct or forget any of it. You can switch learning off for each connected source under Settings > Connectors.
The purpose is to help you with your own work. It is not used to monitor or assess you: no one at [Company name], including managers and administrators, can see what the assistant learned about you. Your data is stored in the EU, and the AI processing takes place in EU data centres. Some of the processor's service providers may process limited data outside the EU, for example backups kept by its mail and calendar provider, as listed at random-assistant.com/legal/processors. Your data is not used to train AI models. The legal basis is [our legitimate interest in providing efficient work tools (GDPR Art 6(1)(f)) / your employment contract (Art 6(1)(b)), per our own assessment]. [Our works council was involved on [date].]

A. Für Ihre Kontakte (Deutsch)
KI-Assistent.
