What Random reads and keeps
Random reads what the work needs: your mail, your calendar and the tools you connect. It keeps far less than it reads.
What it reads
- Mail: your recent mail, to sort it, draft replies, and find the promises in what you send and the replies you are waiting on.
- Calendar: your events, for the daily brief, meeting prep, scheduling and your working hours. An IMAP mailbox has no calendar.
- Connected tools: only what each connector page lists. See How connecting works.
- What you give it: your chats, notes, tasks and Data Room files.
What it keeps
Random does not keep the full text of your emails. It keeps what it needs to show its work: how each email was sorted, with its subject and a short snippet; your email signature; and for each follow-up, the promise sentence and its subject line.
It also keeps what it learns about your people and how you work. You can see, correct or forget any of it in Random Brain. Sensitive fields are encrypted with your workspace's own key.
The switches
Where your workspace has them, three switches under Settings, Privacy & data limit what Random reads. Only the workspace owner can change them.
| Switch | What it covers |
|---|---|
| Who you email and when | Who you write to, when, your subject lines and the promises in your sent mail. Off, Random learns nothing from your sent mail. |
| How you write | Up to 100 sent emails, read once to learn your tone. Only a short description of your tone and your signature are kept. |
| Your calendar | Brief, prep, scheduling and working hours. Off, nothing reads or writes your calendar. |
